What private AI could do for your agency.

Your calls and texts become a daily team report and a customer-sentiment trend. Plan comparisons get summarized. Enrollment season gets a dashboard. It runs in your own servers or your own AWS account.

02 / WHAT SLOWS YOU DOWN5 COMMON PAINS

What slows you down.

The work is rarely the problem. The hunting, retyping, and chasing around it is.

01Recording

Call recordings have retention rules

If your agency is subject to CMS call-recording rules, marketing and sales calls must be recorded and kept for at least six years: audio for the first three, then audio or a transcript. The rule sits in the third-party marketing organization (TPMO) provisions. Check whether it applies to you.

6 yrsminimum retention for recorded marketing and sales calls under 42 CFR 422.2274(g)(2)(ii), if your agency is subject to CMS call-recording rules.

02QA

Nobody can listen to every call

Spot checks sample a few calls. A missed disclosure or an unhappy customer in the other calls stays hidden.

03Seasons

Enrollment season swamps the phones

Call volume jumps, temporary staff join, and follow-ups slip. By the time you see the backlog, customers have called someone else.

04Plans

Plan comparisons are manual

Carrier PDFs, formularies, and provider networks live in different places. Each comparison is an hour of reading.

05Sentiment

You can't see how customers feel

Complaints and praise sit in call audio and text threads. Trends are invisible until someone cancels.

USE CASE 1 / 4

Calls and texts become a daily team report

Every call is transcribed and every text thread read. At the end of the day, the team lead gets one page: calls handled, follow-ups due, and items for review.

  • Flag for review: a 2:14 PM call moves to an enrollment question before the plan disclosure is read. A person listens and decides.[1]
  • Overdue: two customers asked for a callback by noon and have not had one.[2]

05 / DATA CLEANUPTHE QUICK WIN

The quick win most miss.

Most firms don't know AI can do this. Customer lists grow messy during every enrollment season. The assistant merges duplicates, fixes formats, and fills gaps from call logs and text threads.

06 / YOUR TEAM, AMPLIFIEDA HELP, NOT A REPLACEMENT

Your team, amplified.

It is a help to your whole team, not a replacement. Everyone on your team gets an assistant that knows the context of your work. People still make the calls.

01

Permission inheritance

Answers follow the access your CRM and file shares already enforce.

02

Delegated access

A team lead can give a temporary agent access to a customer list for the season. It ends when you say.

03

Role views

Agents see their own customers. Team leads see every call. Reviewers see flags and recordings, read-only.

04

Audit log

A record of who listened to or searched which calls, to support your QA and access reviews.
